XP Inc. is one of the largest financial institutions in Brazil, with more than BRL 1 trillion in total assets under custody for its over 4 million customers, according to the latest financial results release for the second quarter of 2024. The company employs more than 7,000 people and has been working for over 20 years to transform the financial market and improve people's lives.

With the advent of generative AI and the goal of optimizing internal processes to offer the best products and services to their customers, XP Inc. saw the implementation of Microsoft 365 Copilot as an opportunity to transform productivity, inclusion, and accessibility in the workplace – all while maintaining its cutting-edge culture.

Early adopters of Microsoft 365 Copilot

XP Inc. was one of the first 10 Brazilian companies to adopt Microsoft 365 Copilot. With its disruptive culture and extensive use of the Microsoft platform, the company saw the launch of this tool as an opportunity to innovate and boost productivity with entirely new solutions. These solutions ranged from automating tasks with the help of generative AI to enhancing inclusion and accessibility. According to Adriano Espósito, IT executive and leader in Enterprise Architecture and Engineering Platforms at XP Inc., "Initial adoption took between three and four months, during which XP structured and distributed the licenses, in addition to conducting workshops and mentoring with the support of Microsoft."

During the process, XP Inc. implemented intensive training to help employees adapt to the new tools, understand the possibilities and advantages of the new technology, and align expectations for different use cases. These initial challenges were overcome through a structured approach and strong support from Microsoft.

After adopting generative AI, the XP Inc. team, with the support of Avanade, a partner and technology specialist, led the Copilot expansion project. This initiative identified numerous use cases in more than 10% of the business areas, resulting in measured productivity gains and boosting the use of the tool within the organization.

According to Felipe Almeida, Client Solutions Lead, Avanade Brazil, "Through the Copilot 365 Value Program, we integrate a culture of Artificial Intelligence into the day-to-day work of different business areas through M365 Copilot, redesigning the way employees work, developing forms of measurement and defining robust value indicators that prove productivity and collaboration."

Reinventing productivity with Microsoft 365 Copilot

Among the 9,000 hours saved through the adoption of Copilot in activities such as meetings and the creation of minutes, the internal audit team stands out, having experienced a 30% increase in efficiency. This resulted in significant time savings. Previously, gathering information manually and dedicating extensive time to analysis was necessary, but with Copilot, this process has become much more agile.

Another notable benefit felt by all users was the use of Copilot in Microsoft Teams meetings, whether for following up on discussed topics, taking notes, or enhancing the overall experience of the content.

Another highlight was realized by the governance team, which saved 7% of their time by using Copilot for activities such as consolidating and analyzing information from meetings with other areas, tasks that were previously done manually. According to Adriano, "Our sales team, which holds several meetings with customers daily, is now able to generate minutes in a fraction of the time it used to. This has greatly boosted productivity."

Additionally, the tool has facilitated communication for employees with disabilities. For example, Sinara Dantas, who has a hearing impairment, has benefited from real-time transcriptions of meetings, among other Copilot capabilities.

Inclusion and accessibility with Microsoft 365 Copilot

Sinara, a hearing-impaired employee, found Microsoft 365 Copilot to be an essential tool for accessibility and productivity. "When we look at AI, we immediately think of productivity and efficiency, but when it comes to accessibility, it is a very important issue that can improve the daily lives of the employees," said Adriano.

During the pandemic, challenges multiplied for professionals with hearing impairments. Online meetings often had participants who did not turn on their cameras or wore masks, and connectivity issues further complicated matters. These situations made lip reading difficult, which is essential for active participation and concise work execution.

For Sinara, Copilot has proven to be indispensable, removing barriers and enhancing content generation far beyond real-time captions. This allows for seamless integration before, during, and after meetings. Adriano adds, "The gain was clear for her, and now we are expanding the use of the tool to employees with other disabilities."

Initial adoption took between three and four months, during which XP structured and distributed the licenses, in addition to conducting workshops and mentoring with the support of Microsoft.

This experience not only improved Sinara's quality of life, enabling her to interact more easily in meetings and use transcripts to create minutes more accurately and quickly, but also demonstrated the potential of technology to benefit other employees with specific needs. These employees have also begun to embrace generative AI in their activities within XP.
