Frequently asked questions

  • Office 2016 and Office 2019 will no longer receive important security updates and Microsoft customer service will be unable to provide Office technical support after October 14, 2025. While the software will continue to function, to continue receiving security updates and help keep your data safer, it's important to move to the latest productivity software such as Microsoft 365. Learn more about Microsoft 365 for business or home.​
  • Office 2016 and 2019 include apps such as Word, Excel, PowerPoint, and Outlook, but no new features have been added since their release. Microsoft 365 provides the latest versions, plus other benefits—including online storage with OneDrive, added security, and coauthoring capabilities. It works on PCs, Macs, tablets, and mobile devices, stays up to date, and is available as a monthly or annual subscription. Learn more about business or personal and family subscriptions.
  • See system requirements for compatible versions of Windows and macOS, and other feature requirements.​
  • Once installed, desktop versions of apps such as Word, Excel, and PowerPoint work offline, but internet access is required for installation, activation, updates, and managing Microsoft 365 subscriptions. Accessing OneDrive files requires an internet connection unless you use the OneDrive desktop app. Stay online regularly for updates; after 31 days offline, apps enter reduced functionality mode, allowing only viewing and printing. To reactivate your productivity apps, reconnect to the internet.
  • After October 14, 2025, PCs running Windows 10 will still function, but Microsoft will no longer provide technical support, feature updates, or security updates or fixes. To avoid performance, reliability, and security issues, we recommend upgrading to Windows 11 and consider subscribing to Microsoft 365 today. Learn more and view related timelines.
  • Yes, documents that you’ve created belong fully to you.

    With Microsoft 365, you can store files online on OneDrive or locally on your PC or Mac. If your subscription ends, you can still access and download your OneDrive files by signing in with your Microsoft account. However, you’ll lose the additional storage that comes with your subscription, so if you exceed the free limit you'll need to either store your files elsewhere or purchase additional OneDrive storage.​
  • Yes. While Microsoft 365 offers the best collaboration experience, others can view and edit your files for free using Office for the web.​
  • Yes, each user can access Microsoft 365 on up to five computers, tablets, or mobile devices.
  • The cloud refers to web-based computing services hosted off-site by a third party. With cloud-based services like Microsoft 365, your IT infrastructure is hosted and maintained by a third party off-site, rather than on a server at your home or business. Common examples include web-based email, mobile banking, and online photo storage. Cloud services are accessible from virtually anywhere with an internet connection on a PC, tablet, or mobile device.​
